Availability : We’re flexible! This role can be full-time or part-time to suit the right person, but you’ll need to be available on Thursdays and Fridays.

We’re a busy and friendly Paediatric Speech and Occupational Therapy Clinic looking for a reliable and organised Administrative Assistant to join our supportive team. This role plays a key part in helping our clinic run smoothly — with a strong focus on client communication, appointment scheduling, and day-to-day admin support.
You’ll be part of a passionate team that includes:
- 3 Speech Pathologists
- 4 Occupational Therapists
- 7 Allied Health Assistants
- 2 Administration Staff
We’re looking for someone who is hands-on, can think on their feet, and thrives in a fast-paced, client-focused environment.
Key Responsibilities
Client Support & Scheduling
- Answer phone calls, emails, and texts
- Manage and update daily appointment schedules
- Send out appointment reminders, intake forms, and reports
- Maintain accurate client records
- Follow up on waitlists and expired NDIS plans
- Process invoices and payments (in-person and over the phone)
Office Administration
- Scan, file, and shred documents
- Order and restock office supplies
- Keep the front office, waiting area, and shared spaces tidy and organised
- Assist in keeping other moving parts of the clinic, tidy and organised
Additional Tasks
- Review therapy reports for formatting before sending
- Help laminate and prepare therapy resources
Essential
What We’re Looking For:
- Excellent communication and time management skills
- Confident working independently and juggling multiple tasks
- Comfortable using business software (experience with Nookal is a bonus but not essential)
- Friendly, professional, and adaptable
- Must be available Thursdays and Fridays
- Must be willing to obtain a Working With Children Check, Police Check and NDIS Worker Screener
- Must be or willing to become vaccinated for COVID-19 and flu
- Customer Service experience
- NDIS understanding is helpful, but we can teach you
- Microsoft Office experience preferred
