The RoleThe Project Coordinator supports the effective implementation, governance, and communication of our Stretch RAP. Working closely with the Senior Project Manager Reconciliation, the Project Coordinator will work closely with stakeholders across the organisation to ensure reconciliation actions are embedded in business planning and operational delivery, tracked effectively, and clearly reported on.

You’ll manage project timelines, coordinate high-level governance processes, and provide clear, timely information to both internal and external stakeholders. Your work will directly support the Reconciliation Leadership Committee and contribute to strong governance, accountability, and continuous improvement.

Your key responsibilities

  • Administer and refine project management tools to effectively monitor RAP implementation, track progress against key performance indicators and proactively identify and capture risks and issues.
  • Liaise effectively with key internal stakeholders to integrate RAP actions into organisational business planning and budgeting cycles, ensuring strategic alignment and appropriate resource allocation.
  • Deliver comprehensive project and secretariat support to the Reconciliation Leadership Committee. This includes managing meeting logistics, preparing agendas and supporting documents, recording minutes and actions and diligently tracking completion to ensure sustained progress against RAP commitments.
  • Develop mechanisms to capture and analyse qualitative and quantitative data on RAP achievements, challenges and learnings, and work with the Senior Project Manager Reconciliation to identify and capture emerging and systemic issues to support continuous improvement and inform decision-making.
  • Develop briefing materials and reporting tools to measure and communicate progress and demonstrate impact for internal and external stakeholders in line with our RAP commitments. This includes Wurundjeri, staff, Reconciliation Leadership Committee, Yarra Valley Water Board, and Reconciliation Australia.
  • Develop and deliver presentations, prepare business cases and written reports for a range of audiences. This will include report writing support to the Divisional Manager and Team Manager including for to the Yarra Valley Water Board.
  • Provide support with event coordination such as maintaining stakeholder information, event logistics, and calendar coordination e.g. National Reconciliation Week and NAIDOC Week.

What we’re looking for

  • Demonstrated experience in project management including stakeholder engagement, risk management and contribution to resource and budget oversight.
  • Someone interested in applying their professional expertise to support positive reconciliation outcomes and grow their cultural awareness and capability.

  • Strong interpersonal skills and ability to build and maintain collaborative and culturally sensitive relationships with colleagues, Traditional Owners, community organisations and other partners and stakeholders.
  • Someone who thrives on coordination, governance support and relationship-building who wants to contribute to meaningful change.
  • Proven ability to administer and refine project management tools to monitor and communicate progress, including reporting and dashboard capabilities
  • Organised, with a high attention to detail and experience supporting senior leaders
  • Excellent verbal and written communication skills
  • Tertiary qualifications in social sciences, business related study – highly desirable
  • Project management certification or equivalent experience – highly desirable
