APS 4 Secretariat OfficerWe are seeking to fill APS 4 Secretariat Officer positions on a labour hire, non-ongoing, or Section 26 transfer basis within the Federal Government.
Australian Citizenship is required , with Baseline Clearance preferred or the ability to obtain one.
This is an exciting opportunity to work within a high-profile Commonwealth agency, supporting senior executives and contributing to the coordination and delivery of high-quality secretariat and governance support. The successful candidate will bring strong administrative, coordination, and stakeholder management skills to a fast-paced and dynamic environment.
Key Responsibilities: As an APS 4 Secretariat Officer, your duties will include:
- Providing secretariat support for high-level meetings, including preparing agendas, coordinating papers, taking minutes, and tracking actions.
- Managing email inboxes, correspondence, and information flow to ensure timely responses and document handling.
- Supporting the scheduling and coordination of internal and external meetings.
- Liaising with internal and external stakeholders to coordinate input, provide updates, and ensure follow-up on governance requirements.
- Assisting with records management and maintaining version control for governance documents.
- Supporting reporting processes and regular briefings to senior executives and governance bodies.
- Contributing to process improvement initiatives and the efficient operation of the broader team.
- Performing general administrative support and ad-hoc duties as required.
- Australian Citizenship (mandatory).
- A proven ability to deliver secretariat and administrative support in a fast-paced, professional environment.
- Excellent written and verbal communication skills, with a high level of attention to detail.
- Strong organisational and time management skills, with the ability to prioritise competing tasks and meet deadlines.
- Well-developed interpersonal skills, with the ability to liaise confidently and professionally with a range of stakeholders.
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and experience working with shared drives and document control systems.
- A high degree of professionalism, discretion, and commitment to confidentiality.
- Knowledge of public sector governance or committee processes (desirable).
Please note for all Australian based contract and temporary roles only, the pay rate is inclusive of mandatory 25% casual loading. This excludes permanent and fixed term roles.
