The Policy and Practice Leadership Division is seeking an experienced and accomplished APS6 Executive Assistant to join the NDIA.We are seeking an excellent communicator with strong written and verbal communication skills and the ability to represent the executive office professionally when interacting with a range of stakeholders, including other government agencies and ministerial offices. You will have a demonstrated ability to anticipate the needs of executives and prioritise competing demands in a fast-paced environment. You will be competent in maintaining a high level of accuracy, attention to detail and confidentiality, modelling the APS and NDIA Values and making a positive contribution to the Division's culture.
The Policy and Practice Leadership team is an inspiring and rewarding environment to be part of. As APS6 Executive Assistant to the General Manager, you will play a key role in supporting a team that is leading critical reforms to the NDIS.
Our ideal candidate will have qualifications in business administration, management, office administration or a related field, or equivalent work experience in lieu of formal qualifications. In addition, you will have proven experience in high level administrative or executive assistant roles, preferably within a government or large organisational setting. You will have a demonstrated ability to take initiative, lead projects, and manage competing priorities in a fast-paced ever changing environment.
You will be highly motivated with exceptional attention to detail and the ability to make decisions and work independently. You will have strong written skills and be confident and competent to draft communications on behalf of the Division. You will be organised, proactive, and flexibility adapt to changing priorities, while supporting various functions and working effectively in a dynamic environment, showcasing your continuous learning and strong time management skills.

The key duties of the position include
As part of a high-performing team, you will play a critical role in managing the day-to-day operations of the General Manager. You will coordinate and prioritise competing priorities and responsibilities, working closely with senior leaders and stakeholders across the Agency.
Responsibilities of the role may include but are not limited to:
- Independently manage and coordinate high level executive calendar and inbox, anticipating conflicts and prioritising meetings.
- Managing emails, appointments and preparing briefing materials whilst adhering to the strictest confidentiality.
- Organising travel arrangements and supporting official functions on behalf of the General Manager, and other agency staff as directed.
- Providing guidance, support and quality assurance to staff at lower classification levels, ensuring consistency with agency standards, procedural compliance, and best practice.
- Proactively identify issues and implement solutions to resolves problems as they arise, using sound judgement and a thorough understanding of priorities, workflows, and stakeholder needs.
- Maintaining a well-developed understanding of relevant legislation and policy frameworks.
- Working closely with the Divisional Support Officer (DSO) of the Group and the Divisional Coordinator (EC) to assist with any priorities or tasks as required.
