Job Summary:

We are seeking a friendly, organized, and professional Allied Health Receptionist to be the first point of contact for our clients. In this role, you will support the day-to-day operations of a busy allied health clinic by managing appointments, handling enquiries, processing payments, and ensuring an exceptional client experience from start to finish.

Key Responsibilities:

  • Greet clients over the phone, and via email in a warm and professional manner.

  • Schedule, confirm, and manage appointments for multiple allied health practitioners.

  • Handle patient intake and update client records using clinic management software.

  • Process payments, issue receipts, and manage health fund claims (e.g., Home Care Package, HICAPS, Medicare, NDIS).

  • Maintain a tidy and welcoming reception area.

  • Liaise with practitioners regarding client needs, bookings, and schedules.

  • Manage incoming and outgoing correspondence, including referrals and reports.

  • Assist with general administrative tasks such as scanning, filing, and stock management.

  • Ensure patient confidentiality and compliance with privacy policies at all times.

Requirements:

  • Previous experience as a receptionist, preferably in a healthcare or allied health setting (preferred but not essential).

  • Excellent communication and interpersonal skills.

  • Strong organizational skills and attention to detail.

  • Confident using computers, booking systems, and payment processing tools.

  • Ability to multitask and remain calm under pressure.

  • A warm, empathetic, and client-focused attitude.

Preferred Qualifications:

  • Experience with allied health or medical software (e.g., Splose)

  • Knowledge of health funding systems such as Medicare, NDIS, WorkCover, and private health insurers.

  • CPR and First Aid certification (optional but beneficial).

  • Language: Vietnamese fluent (highly regarded).
