Description:

C&H Recruitment is recruiting for a Administration Officer all rounder to join our building and construction client base dat their location in Rockhampton CBD.
This role offers a casual ongoing or permanent part-time basis position with excellent flexibility to work around your personal lifestyle. Work days and hours can be discussed at interview stage.

Your main duties will consist of providing a high-level of administrative and clerical support to ensure the smooth day-to-day operation of our client and their stakeholders. This role is central to coordinating project documentation, managing communication between clients, suppliers, and assisting with financial and compliance processes.
Office Administration & Support
  • Act as first point of contact for client queries, ensuring professional communication at all times
  • Manage incoming calls, emails, and correspondence
  • Maintain filing systems (both digital and hard copy) for job cards, work orders, quotes, and invoices
  • Coordinate office supplies, equipment, and general administration needs
  • Draft correspondence, reports, and meeting notes as directed
Project & Job Card Support
  • Enter and track job work orders and job details into the company system
  • Prepare project folders, ensuring all supporting documents, permits, and approvals are in place
  • Maintain records of SWMS, JSEAs, licenses, and insurances for subcontractors
Finance & Invoicing
  • Assist with preparation of invoices including collating supplier invoices and applying markup/service fees
  • Cross-check supplier and subcontractor invoices against job cards before processing
  • Prepare purchase orders and reconcile material costs with jobs
  • Assist with payroll timesheet collation where required
Key Skills & Attributes
  • Previous experience in an administration role (construction industry preferred)
  • Strong organisational and time-management skills handling competing priorities
  • High attention to detail, particularly with invoicing and job cost reconciliation
  • Excellent written and verbal communication
  • Proficient in Microsoft Office Suite, AroFlo (preferred), and other construction admin systems
  • Knowledge of construction terminology and processes is highly desirable
