Come and join the Office of the Deputy Director-General, Aboriginal Torres Strait Islander Partnerships at the Department. We are looking for an experienced Executive Support Officer who has worked with executives previously, someone who is proactive and innovative as well as someone who think strategically and respond operationally.You will be involved in supporting the Deputy Director-General (DDG) and Office of the DDG Aboriginal Torres Strait Islander Partnerships (ATSIP) by providing efficient and effective executive and administrative support.
The focus of the role will be managing relationships and the flow of business to and from internal and external stakeholders such as Director-General’s (DG) office, the Cabinet Legislation and Liaison Office (CLLO), Commonwealth departments and peak industry bodies.
Your Key Responsibilities
- Provide confidential secretarial and executive support to the DDG in a fast-paced and sensitive environment, always ensuring discretion and professionalism.
- Manage the Deputy Director-General's diary to ensure effective time management, punctual attendance at meetings, and the collation of required information packs for the DDG.
- Monitor and manage the Deputy Director-General's inbox, triaging matters promptly and ensuring accurate dissemination of material for response and follow up.
- Deliver high-level administrative support, including proactive and timely management of the DDG's emails and appointment diary to ensure efficiency and prioritisation of tasks.
- Coordinate high-quality and comprehensive responses to requests for information and advice on behalf of the DDG, ensuring accuracy and timeliness.
- Arrange and manage all travel requirements, including itineraries, bookings, and expense reconciliation.
- Support the ATSIP senior leadership team providing timely assistance and facilitating engagement with the DDG on critical matters.
- Assist the Manager ODDG in coordinating Cabinet Legislation Liaison Officer (CLLO) and Departmental Liaison Officer (DLO) requests to ensure seamless communication and workflow.
- Provide secretariat support to a range of stakeholder and governance committees as required, ensuring accurate documentation and effective meeting coordination.
- Maintain a high level of understanding of departmental activities, services, arrangements, and protocols to critically assess advice and requests on behalf of the Office of the Deputy Director-General.
- Mentor and support the executive support network within ATSIP, fostering collaboration and professional development across the team.
- Establish and maintain positive working relationships and partnerships with intra agency, inter-agency, and external stakeholders to achieve effective outcomes.
- Demonstrate innovation and enthusiasm in developing, implementing, maintaining, and reviewing administrative systems and procedures within ATSIP to improve efficiency and effectiveness.
- Perform other duties as directed, ensuring flexibility and adaptability to meet the evolving needs of the division.
