Your OpportunityThe Operational Coordinator, Apprenticeship Management Administration (AMA) is responsible for:
- supervising and coordinating the day to day operational and administrative activities within the relevant AMA team;
- providing input into the development and maintenance of internal processes and procedures, including active participation in the implementation of best practice approaches to apprentice management administration; and
- building partnerships with key internal/external stakeholders to improve services and maximise business opportunities for TAFE Queensland SkillsTech.
The position will be based primarily at the Acacia Ridge campus; however, you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
- Successfully contribute to cultural change within the organisation through promoting and modelling SkillsTech’s core values and Agreed Behaviours and the established TAFE Queensland values of ‘Safety First’, ‘Working Together’, ‘Focussing on our Customer’, ‘Showing Initiative’ and ‘Taking Responsibility’.
- Supervise the operational administrative activities within the team, providing clear direction on the allocation of resources, prioritisation of tasks and compliance with approved processes in order to ensure that key performance indicators (KPIs) are achieved, and any emergent matters are appropriately escalated for resolution.
- Contribute to the effective and efficient operation of the AMA team by:
- assisting in the review of resources to ensure the availability, accuracy, and consistency of information;
- assisting with the development of work instructions for operational tasks;
- completing administrative tasks (as required) to ensure deadlines and timeframes are met;
- work collaboratively with the relevant Manager to build individual and team capability through relevant Performance Planning and Development activities; and
- working collaboratively with other leaders within the AMA business in order to interpret and respond to departmental requests for information in a timely manner.
- Monitor and evaluate TAFE Queensland supervising registered training organisation (SRTO) notifications, working collaboratively with Apprentice Connect Australia Providers (ACAPs) and AMA management and other internal stakeholders to develop and implement strategies to ensure successful reporting of notifications.
- Utilise computerised systems and applications to generate and analyse business performance and apprenticeship reports relating to apprenticeship management and recognition services, to assist in informing operational and strategic decision-making processes.
- Participate in educational delivery planning activities, including reviewing relevant AMA data to identify trends and predict future needs and working collaboratively with other internal stakeholders to operationalise agreed plans.
- Maintain a current working knowledge of TAFE Queensland products and services, and applicable legislation, regulations, policies, and guidelines to ensure the Region’s compliance with statutory obligations as they relate to apprenticeship management and recognition services.
- Contribute to continuous business improvement by proactively seeking and facilitating opportunities to impart knowledge to team members, and actively participating in the development and review of business processes, documentation, and practices as they relate to the AMA function.
- Evaluate client feedback and work in partnership with key internal stakeholders to implement processes and practices to improve the effectiveness of SkillsTech’s AMA functions and services, maximise business opportunities, and enhance the client experience.
- Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self-development and contributing to the development of the team through knowledge sharing and the provision of support, guidance, and collaboration.
The ideal applicant will be someone who has the following key capabilities:
- Ability to effectively supervise operational activities and performance, including the ongoing review of systems, procedures and resource allocation, the generation of reports and analysis of data, and the establishment of clear direction and priorities.
- Demonstrates sound knowledge of the Vocational Education and Training (VET) Sector, including relevant funding arrangements, Australian Skills Quality Authority (ASQA) and the Australian Apprenticeship system.
- Demonstrated problem-solving skills, including the ability to successfully manage emergent operational issues and propose workable solutions to facilitate successful outcomes for both clients and the organisation.
- Highly developed communication, negotiation, and relationship management skills as evidenced by the ability to impart knowledge and develop and effectively manage positive and collaborative working partnerships.
- Ability to effectively contribute to a high performing team and proactively seek and facilitate opportunities for self-development and team development.
