Description:
The Executive Assistant will provide high-level executive support to the CEO, ensuring the smooth operation of the Executive Office. This includes managing the CEO’s schedule, acting as a key liaison with the Board, and providing governance support. The Executive Assistant will also support the executive team with special projects, fostering cross-departmental collaboration and ensuring that the organisation’s strategic objectives are met.
Position Requirements:
- Manage and coordinate the CEO’s schedule, including appointments, meetings, travel arrangements, and event planning.
- Provide a full range of high level confidential executive administration services to the CEO including the preparation of meeting agendas, briefing materials, and presentations for the CEO.
- Confidentially manage telephone calls, information, responses, and recommendations to and on behalf of the CEO, and communicate and/or co-ordinate CEO instructions with various individuals and stakeholders, internally and externally, and at all levels. Screen and manage communications (phone, email, etc.), responding on behalf of the CEO when appropriate.
- Under the direction of the CEO, coordinate the input of team members in the development of key reports, including Board and CEO reports, external reporting and ad hoc reports as required.
- Organise and manage CBB events, hospitality and catering, as required.
- Coordinate personal commitments and travel arrangements for the CEO, as required.
- Exceptional Organisational Skills: Ability to prioritise multiple tasks and manage competing demands in a fast-paced environment.
- Strong Communication: Excellent verbal and written communication skills with the ability to interact professionally at all levels.
- Attention to Detail: High level of accuracy and focus on quality in all deliverables.
- Discretion and Confidentiality: Proven ability to handle sensitive and confidential matters with professionalism.
- Time Management: Ability to manage deadlines and prioritise tasks for both self and supported executives.
- Problem Solving and Initiative: Proactive approach to identifying challenges and implementing solutions.
- Technological Proficiency: Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with virtual meeting platforms (e.g., Zoom, MS Teams).
- Project Management: Strong organisational skills with experience supporting special projects, including planning, coordinating, and tracking.
- Minimum of 5 years of experience as an Executive Assistant or Personal Assistant supporting C-suite executives.
- Experience providing governance support to a Board of Directors is highly desirable.
- Experience in managing special projects and cross-departmental initiatives.
