The Role
An APS 3 Administration Officer is accountable under limited direction to perform and achieve straightforward administrative and business support work within an integrated workforce. Within 13 Combat Service Support Battalion (13 CSSB) the APS 3 Administration Officer works within the Battalion Orderly Room (Administration Office) and alongside a small team of Australian Defence Force (ADF) administration personnel.
This role includes but is not limited to the following duties:
- Being the primary point of contact for 13 CSSB personnel seeking administrative support or advice.
- Completing administrative duties such as data entry, processing Objective Workflows, and virtual filing in line with Defence requirements.
- Monitoring and actioning the 13 CSSB Registry Inbox on both Outlook and Objective.
- Perform the role of 13 CSSB Unit Objective Coordinator.
- Perform the role of 13 CSSB Travel Clerk including the management and oversight of domestic travel bookings using Enterprise Resource Planning (ERP) and accurate completion of AE505 - the Travel Request Form and Card Management System (CMS) Travel Plans.
- Perform the role of 13 CSSB HQ First-Aid Attendant and undertaking St Johns First Aid Training in order to fulfil this role.
- Provide support to 13 CSSB personnel in the processing and management of Defence Official Passports.
- Under limited supervision, adhere to 13 CSSB Administrative Standard Operating Procedures.
Our team is located within Irwin Barracks, Karrakatta, Perth and operate out of 13th Combat Service Support Battalion (13 CSSB) Headquarters Orderly Room. The role of 13 CSSB is to provide logistics and support to the 13th Brigade (13 BDE) in order to support training and operations. 13 CSSB Orderly Room staff consists of a combination of members of the Australian Army and Australian Public Service operating as one team conducting personnel administration for c100 members of the Australian Defence Force.

Our ideal candidate must have exceptional organisational skills, have strong attention to detail and the ability to thrive within a small team environment and when required be self-directed. Be able to demonstrate knowledge in Defence Administrative and Financial Compliance duties, personal drive and integrity with the ability to:
- Be accountable for accurate completion of work within timeframes, share own expertise with others and guide and mentor less experienced employees.
- Support the 13 CSSB Orderly Room and Battalion Headquarters leadership team by monitoring and effectively reporting the progress of assigned tasking in a timely manner.
- Have the IT abilities to be proficient in the management of data entry within the Defence IT information systems such as Card Management System (CMS), SAP Enterprise Resource Planning (ERP) Program systems, and be proficient in Excel, Word and Outlook.
- Possess high standards of intellect and integrity to be able to adhere to the compliance with Defence Compliance requirements to include, but not confined to Personnel Administration, Security, Work Health Safety, and Finance Management.
- Be accountable to contribute towards ongoing self-improvement and professional development.
