Your Opportunity
Responsibilities
As the Executive Support, you will be responsible for:
- Provide high-level, confidential, administrative, research support to the Senior International Leadership Team (ILT) including secretariat functions for management meetings and working groups, maintaining efficient and effective liaison with key stakeholders.
- Ensure appropriate preparation and coordination for Senior International Leadership Team attendance and representation at key events including through calendar support (travel, meetings etc).
This is a Temporary, Full-Time opportunity, for a duration of 12 months unless otherwise determined.
The position will be based primarily at South Brisbane however, you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
- Develop and provide confidential administrative support to the Senior International Leadership Team including preparation of a range of documents, reports and briefing papers.
- Maintain effective office management practices for the Senior International Leadership Team, including coordinating diary appointments, scheduling meetings and appointments and the annual team program of works, ensuring the quality of documentation generated.
- Take accurate meeting minutes that outline discussions, decisions and action items and ensure confidentiality with sensitive information.
- Undertake research planning and coordination activities to support the functions of the Senior International Leadership Team and broader objectives of the TAFE Queensland International Education team as required.
- Contribute to the development of internal and external communications, through sourcing information, summarising and drafting content as required.
- Liaise with the TAFE Queensland International Education focal points and maintain effective and collaborative communications with regional and corporate office personnel.
- Maintain professionalism through engagement with key internal and external stakeholders, providing support, planning and preparation for external meetings, delegations and events.
- Effectively manage day to day activities of the TQIE office including the coordination and preparation of information and reports that align with business operations (for example, leave register, car park, org structure, TQIE Teams sites etc).
- Coordinate and participate in the planning and implementation of events and team activities including, planning days, staff engagement activities and student engagement activities as required.
- Identify areas for improvement and assist in the development and implementation of initiatives, processes and systems for effective, efficient and high quality administration across the team.
- Maintain records management systems, including ECM, and coordinate the flow of correspondence relating to the Senior International Leadership team and take follow up action required.

- Display the initiative, attitude and ability to thrive within a dynamic, challenging and changing environment.
- High level oral and written communication skills, including the ability to represent your work area through high quality outputs in consultation with clients and various stakeholders.
- Demonstrated experience in effectively managing work of an administrative nature and proven ability to maintain confidentiality, to exercise tact and discretion, initiative and sound judgment in relation to sensitive issues.
- High-level of competency in a range of Microsoft Office suite software applications.
- Demonstrated ability to coordinate events and activities to achieve successful outcomes within strict deadlines and budgetary constraints.
