We are seeking a highly organised and detail-oriented Executive Assistant to provide administrative support to our Managing Director and Chief Operating Officer. The ideal candidate will be able to manage multiple tasks and priorities, maintain confidentiality, and communicate effectively with all levels of the organisation

Haben is a privately owned funds and property management business that specialises in unlocking value from retail shopping centres currently located across the East coast of Australia. We are growing rapidly whilst maintaining our personal touch, and care both about our community of co-investors and partners, and the communities where our assets are located.

About the role

  • Manage the COO & MD’s inbox, calendars, including scheduling meetings and appointments
  • Coordinate travel arrangements and prepare itineraries
  • Prepare and edit correspondence, reports, presentations, take minutes and follow up action items where needed
  • Coordination of Board meetings, papers and minutes
  • Conduct research and compile data for various projects
  • Assist with event planning and coordination where required
  • Lead and supervise the Office Manager along with being a key point of contact for our IT consultant
  • Provide general administrative support including reception cover as needed
  • General errands such as collecting lunch, coffee orders and other tasks from time to time

About you

  • Proven experience as an Executive Assistant or similar role
  • Excellent organisational and time management skills
  • Strong written and verbal communication skills with a friendly upbeat manner
  • Proactive and able to effectively solve problems
  • Advanced skills in Microsoft Office and other relevant software
  • Ability to work independently and as part of a team
  • Strong attention to detail and accuracy
  • Tech savvy, process driven and embraces continual improvement
  • Ability to maintain confidentiality and handle sensitive information

Based on site at our brand-new Head Office in Double Bay, this is a full-time position with parking, working within a dynamic team. Office hours are 8.30am to 5.30pm.
