As we continue to expand our operations, we are looking for a highly organised and energetic Administration Coordinator to become the operational heartbeat of our Melbourne base and provide crucial support to our national network.
About the Role
This is a pivotal support role where no two days are the same. Based in our Melbourne office, you will be the go-to person for ensuring administrative excellence and seamless coordination across our state-based facilities. You will provide vital support to our operations teams, manage key resources, and be the professional first point of contact for clients and partners, playing a direct role in our day-to-day success.
Key Responsibilities
- Office & Operational Coordination: Ensure the smooth daily running of the Melbourne office and provide remote support for interstate warehouses, managing supplies, facilities issues, and vendor relationships.
- Logistics & Hospitality Management: Coordinate comprehensive logistics for visiting executives and international colleagues, including travel, accommodation, and itinerary planning.
- Client & Visitor Experience: Professionally manage front-of-house duties, including greeting clients, coordinating meetings, and providing office tours to uphold our company image.
- Fleet Administration: Oversee the company vehicle fleet, coordinating bookings, maintenance, registration, and ensuring compliance and documentation are up-to-date.
- Communications Hub: Efficiently manage the main phone line and general inbox, accurately directing inquiries and providing timely responses.
- Project Support: Provide reliable administrative support for various projects and initiatives as directed by management, including reporting and presentation preparation.
About You
To be successful in this fast-paced role, you will be a proactive problem-solver with a genuine passion for supporting a team.
- Proven experience (1-2 years) in an administrative, office support, or coordination role.
- Exceptional organisational skills and the ability to prioritise a varied workload with impeccable attention to detail.
- Outstanding verbal and written communication skills, with a professional and friendly phone manner.
- A resilient, ‘can-do’ attitude and the ability to work effectively under pressure.
- High proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Flexibility to occasionally work outside standard hours to support business needs.
