Description:
The Executive Support Officer will provide high quality, confidential executive correspondence and administrative support to the Office of Executive Director, Community Recovery. The role will assist in developing, monitoring and evaluating systems and processes to ensure the effective operation and continuous improvement of the branch’s executive correspondence and other administrative functions.You will have a record of success and a strong background in providing executive correspondence and administration support to a large and geographically dispersed team. With strong organisational skills and high attention to detail, you will have experience across the public, private and/or not-for-profit sectors.
Key Responsibilities
- Ensure efficient operation of day-to-day activities of the Office of the Executive Director, Community Recovery including coordinating the daily flow of business.
- Support the office and administrative functions associated with the Executive Director and provide high quality, confidential business support.
- Maintain the Executive Director's diary including organisation of meetings, appointments, conferences, seminars, travel arrangements including accommodation.
- Consult and negotiate with management and other agency senior officers to resolve any matters as appropriate to the role.
- Provide quality services to the Executive Director in word processing, spreadsheet development, presentations and data input.
- Assist the Executive Director and the Office of the Executive Director with project work, as required.
- Maintain effective working relationships with the Office of the Deputy Director-General and officers at all levels within public and private sectors in relation to Division's activities.
- Assist callers and direct enquiries to appropriate areas.
- Examine, disseminate and monitor incoming correspondence and maintain electronic and physical filing systems
