Under broad supervision, responsible for keeping the appropriate levels of materials and/or stock supplies with the aim to maximize inventory control and company sales. Organizes deliveries to meet given deadlines and customer expectations. Supervises and tracks the flow of materials and products from suppliers throughout the organization. Responsible for activities related to supplying of points of sales, such as shipment of company products, preparation of custom declaration, etc. Cooperates closely with company purchasing department. Role typically requires between 3 and 5 years of experience.

The Opportunity

We are seeking a dedicated and motivated Fleet Administrator to join our Hope Valley team. Reporting to the Senior Fleet Administrator, you’ll play a vital role in keeping our operations moving safely and efficiently. You’ll support fleet and personnel coordination across the Goldfields and Mid‑West regions, ensuring our people and assets are deployed accurately, compliantly and on time.

Key Responsibilities

  • Answer incoming calls and accurately record bookings using our fleet administration systems and processes
  • Reconcile work dockets and maintain accurate records in FCC
  • Maintain and update supplier lists for subcontractors and cross‑hires, ensuring compliance with all contractual and regulatory requirements
  • Manage asset and personnel compliance documentation
  • Process and schedule client orders, assigning operators and riggers based on qualifications, competencies and experience
  • Provide prompt and effective resolution to client and operator enquiries
  • Coordinate end‑to‑end mobilisation of personnel and assets in line with client, regulatory and contract requirements
  • Assist the Branch Manager and wider team with general administrative duties

About You

  • Experienced & Detail‑Driven – You bring experience in fleet administration or a similar operational role

  • A Strong Communicator – You engage confidently with colleagues and clients, sharing information clearly and consistently

  • Adaptable – Experience within a contracting or heavy industry environment is highly regarded

Role Details

  • Based at Freo Group’s WA Head Office in Hope Valley
  • 8/6 Back‑to‑Back roster worked alongside another Fleet Administrator, supported by a 5:2 Senior Administrator
  • Primarily supporting the Goldfields and Mid‑West, with occasional assistance to the Southwest
