This position supports the Vice President & General Manager, Product, Loyalty, Partnerships & Analytics A/NZ for ICS (International Card Services) and the Vice President, Loyalty & Partnerships ANZ, as part of a diverse product, analytics and partnerships team of over 70 colleagues located in Australia.
The role provides day-to-day support in managing schedules, meetings and events as well as coordinating communications and colleague activities, partnering closely with the leadership team.
About the role
Key Accountabilities:
- Calendar management - effective diary management including managing and prioritising multiple requests, and scheduling and managing agendas for recurring meetings
- Expense management - ensure timely preparation of leader expense reports, and reviewing of direct report expense submissions in accordance with T&E policy
- Travel management - manage international and domestic travel arrangements including air, hotel, transfers and agendas
- Coordination of large meetings and events across multiple locations and with both in-person and virtual options, including liaising with relevant on-site tech support teams
- Headcount Tracking / Reporting – preparation of monthly headcount updates for leadership team and Country Manager’s office
- Document / Contract management – ad hoc support for document / contract management to ensure all key stakeholders have copies and timely execution of contracts
- Communications – coordination of comms plan including Townhalls, Leadership meetings and colleague communications across the team.
- Colleague Engagement – play a key role in supporting the Culture and Engagement plan for the team, in collaboration with the broader ICS team and leveraging CXT initiatives
- Stakeholder Management - effective stakeholder management across a large and diverse team, and coordination across the enterprise
- Project Management – take on additional project work as required to support business priorities.
