About Us

Notion helps you build beautiful tools for your life’s work. In today's world of endless apps and tabs, Notion provides one place for teams to get everything done, seamlessly connecting docs, notes, projects, calendar, and email—with AI built in to find answers and automate work. Millions of users, from individuals to large organizations like Toyota, Figma, and OpenAI, love Notion for its flexibility and choose it because it helps them save time and money.

In-person collaboration is essential to Notion's culture. We require all team members to work from our offices on Mondays, Tuesdays, and Thursdays, our designated Anchor Days. Certain teams or positions may require additional in-office workdays.

About The Role

The People Team at Notion exists to help build a generational company - one that enables people to do their best and most meaningful work. Hiring exceptional talent, at the right time and with care, is central to that mission.

We’re looking for our first Recruiting Coordinator in our Sydney office to help build the foundation for hiring operations in Sydney and partner closely with Recruiters and Hiring Managers to create a thoughtful, well-run, and genuinely human candidate experience. This role sits at the center of our hiring process and plays an important role in how candidates experience Notion.

What You’ll Do

Create a candidate experience that reflects Notion

You’ll be one of the first and most consistent touchpoints candidates have with Notion. From scheduling interviews to answering questions and resolving issues, you’ll help ensure every interaction feels organized, respectful, and intentional. You’ll collaborate closely with Recruiters and Hiring Managers to continually refine our processes—so candidates leave feeling excited about what we’re building, regardless of the outcome.

Coordinate interviews with care and precision

You’ll manage and schedule a high volume of interviews across technical and non-technical roles, balancing speed with attention to detail. You’ll anticipate needs, communicate clearly, and keep candidates and interviewers aligned - making the process feel smooth and predictable, even as things move quickly.

Build strong recruiting foundations

This role is designed for someone earlier in their recruiting career who wants to build durable fundamentals. Over time, you’ll gain exposure to how we plan, execute, and scale hiring at Notion. With support from the team, you may take on light sourcing work, process improvements, or additional ownership as your skills grow - creating a strong foundation for future growth in recruiting, operations, or people-focused roles.

What You’ll Bring

  • 1-2 years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment
  • Experience supporting both technical and non-technical roles, including remote and in-person interview scheduling
  • Strong organizational and prioritization skills - you’re proactive, reliable, and thoughtful about details
  • A steady, calm approach in fast-moving environments
  • Clear, kind, and professional communication skills - you’ll represent Notion to a large and diverse group of candidates
  • You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results

Nice To Haves

  • Experience with Ashby and Workday
  • Experience in a high-growth or startup environment

We hire talented and passionate people from a variety of backgrounds because we want our global employee base to represent the wide diversity of our customers. If you’re excited about a role but your past experience doesn’t align perfectly with every bullet point listed in the job description, we still encourage you to apply. If you’re a builder at heart, share our company values, and enthusiastic about making software toolmaking ubiquitous, we want to hear from you.
