We are seeking a highly organised and proactive Leasing Assistant to support the coordination and administration of leasing activity across our portfolio. Your work will directly contribute to the smooth progression of leasing deals, accurate documentation, and strong relationships with retailers and key internal stakeholders. This role is ideal for someone with a proven ability to manage multiple tasks, maintain exceptional attention to detail, and support fast paced commercial activity. You’ll play a critical role in assisting Regional Leasing Managers and Leasing Executives by preparing documentation, tracking deals, coordinating cross department inputs and ensuring leasing processes run efficiently from start to finish. About the role

  • Provide administrative and coordination support to the Leasing team.
  • Assist Regional Leasing Managers with deal coordination, reporting, documentation tracking and stakeholder alignment.
  • Prepare deal approval packs, business cases and leasing summaries; maintain pipelines, trackers and approval status reports.
  • Support preparation, processing and management of leasing documentation (LOO, HOA, renewals, variations, surrenders).
  • Maintain accurate lease records and document control systems.
  • Coordinate internal inputs from Centre Management, Tenancy Delivery, Lease Management, Marketing and other stakeholders.
  • Prepare presentations, monthly leasing reports, budget inputs and updates, coordinate leasing meetings, agendas and minutes.
  • Act as a point of contact for retailers regarding documentation and leasing administration.
  • Support onboarding of new retailers, site inspections, marketing material coordination and retailer engagement activities.
  • Assist with leasing initiatives to improve tenant mix, occupancy and centre performance.
  • Support reporting on leasing metrics, compliance with internal standards and continuous process improvement.

About you

  • Previous experience in an administrative, coordination or assistant role (property or retail preferred).
  • Highly organised and process driven with strong time management skills.
  • ·Strong attention to detail and accuracy across documentation and data management.
  • Confident written and verbal communication skills.
  • Able to build strong relationships with internal teams and external stakeholders.
  • Proficient in Microsoft Office 365; Salesforce experience is advantageous.
  • Professional, approachable and team oriented.
  • Comfortable working in a fast paced, deadline driven environment with strong follow through.
  • Proactive, curious and motivated to build a career in commercial leasing and retail property.

Ideally, this full-time role will be based at our Head Office in Double Bay, however we are also open to candidates working from our Brisbane office.
